Starting Monday, April 27, 2026, applications for temporary residence, permanent residence, and EU long-term resident status will only be accepted via the Module of Case Management (MOS) portal. Find out how the application process will change. How and where will you submit your application? From April 27, 2026, applications for temporary residence, permanent residence, and EU long-term resident status can only be submitted through the Module of Case Management (MOS) portal. You will need to create a Trusted Profile. The Trusted Profile will also be necessary to set up an electronic inbox e-Doręczeń, which is required for receiving correspondence from the office and supplementing documentation. Familiarize yourself with the information regarding the specific permit and purpose of stay. Soon, this information will be available on the MOS portal in the section “Familiarize yourself with the information.” Gather all the information and documents necessary to complete the application in MOS and for its consideration. Log in to MOS via login.gov.pl and create an account. Fill out the application for a temporary residence permit, permanent residence, or EU long-term resident status. Provide a valid email address in the application, to which you will receive a code after your application is registered in the office, allowing you to assign your case in the Foreigners' Portal inPOL. This will enable you to track the status of your case in inPOL. Attach the required documents (scans or digital originals) to the electronic application filled out in MOS: a color photograph that is undamaged, clear, taken no earlier than 6 months before the application date in digital format (the file containing the photograph must have dimensions of 684 x 883 pixels (width x height) and must not exceed 2.5 MB, to maintain proportions corresponding to a photograph size of 35 x 45 mm (width x height); a scan or photo of all pages of a valid travel document; proof of payment of the administrative fee (scan of the document or electronic confirmation of the payment indicating the applicant's name) in an amount depending on the type of permit (e.g., 340 PLN, 440 PLN, 640 PLN); proof of payment for the issuance of a residence card in the amount of 100 PLN; other necessary documents depending on the type of permit. Lists of required documents are available on our website in the tab. Sign the application with a trusted signature or qualified electronic signature. If you are a legal representative, i.e., a parent, guardian, or curator, sign the application with a trusted signature, qualified electronic signature, or personal signature. In cases where it is necessary to complete attachments No. 1, No. 3, or No. 5 for the application for a temporary residence permit, you must obtain the appropriate email address of your employer or internship organizer, or the organization for which you will be providing services as a volunteer, or the educational institution you will be attending, to which a link for completing this attachment and signing will be sent. Only after completing the attachment and signing it with a trusted signature by your employer or internship organizer, or the organization for which you will be providing services as a volunteer, or the educational institution, will you receive an email with information about the possibility of submitting the application in MOS. Download and save the UPO (official confirmation of receipt of the application by the relevant authority). If you do not receive it, it means that the application was not successfully submitted and will not be considered. Create an account on the inPOL portal – if you do not have one yet – and you will still be able to track the status of your case as before. Never share your Trusted Profile login information (login.gov.pl) with anyone – take care of your data security! If you are using the services of a representative and need assistance while filling out the application, you may ask them to accompany you. The application must be electronically signed by the foreigner. All other letters, applications, and documents at later stages of the proceedings can be submitted by the representative independently, within the scope of the granted power of attorney. What will the procedure look like at the Department of Foreign Affairs of MUW in Warsaw? After receiving and registering the application, the office will send you an email with the reference number of your case. Then, after receiving the application, the office will send you a summons for personal appearance at the office, to present your travel document and sign, with a designated date for your appearance along with a list of required documents that need to be supplemented in the case. Due to the electronic handling of cases, documents will not be accepted during your visit to the office. You will send documents electronically via e-Doręczeń. If the application is submitted through MOS during legal residence, you will receive an email at the address indicated in the application confirming that you have submitted the application, stating that your stay in Poland is considered legal until the procedure is concluded with a final decision. Actively participate in the proceedings and respond to all summonses sent. Check the status of your case in the inPOL system. With e-Doręczeń, you can receive correspondence from anywhere online, without going to the post office. You can be assured that correspondence sent from the office will reach you even if you change your residence address or leave. After the permit is issued, the office will send you information about the designated date and place for picking up the residence card via email or e-Doręczeń. How will we communicate during the proceedings? Through e-Doręczeń Starting from April 27, 2026, for applications submitted electronically through the new MOS portal, cases will be conducted exclusively in electronic form. Create an address and electronic inbox e-Doręczeń. This inbox will be needed, among other things, to receive summonses, information about designated dates for personal appearances for fingerprinting or receiving the residence card sent to you by our office. Additionally, through the electronic inbox e-Doręczeń – in response to the summons, you will be able to supplement (send) any missing documents. Remember that the documents you send as evidence in the case must be signed with a qualified, trusted, or personal signature by the appropriate persons or entities, meaning they must be original electronic documents. Meanwhile, paper originals of documents must be sent as scans electronically certified as compliant with the original by a notary, lawyer, or tax advisor who is your representative in this case. Via email Regularly check the email address indicated in the application. We may send a response to your letter, information about the designated date and location for fingerprinting or receiving the residence card by email. How to check the status of your case and obtain information about it? Through the Foreigners' Portal inPOL – to gain access at the moment of filling out the application, provide your email address, to which we will send a code to assign the case. You will be able to track the status of your case. By phone at: 22 695 67 73 Important information Remember, if you submit an application from the date of entry into force of the new provisions, i.e., during the period from April 27, 2026 (Monday), and this application is not submitted electronically via MOS (except in cases specified in the provisions of Articles 106k and 106l of the Act on Foreigners), then the voivode will be obliged to leave it without consideration based on the relevant provision of the Act on Foreigners (Article 106c paragraph 5, Article 203c paragraph 3 or Article 219c paragraph 3 of the Act on Foreigners). Applications for temporary residence, permanent residence, and EU long-term resident status sent via postal operator before April 27, 2026, which arrive at the office after April 27, 2026, will be left without consideration. When will a paper application be needed? Exceptions apply to granting a foreigner a temporary residence permit for family reunification or a temporary residence permit that a family member who is separated will need when they are entitled to submit an application (when the foreigner to whom the permit is to be granted is outside the borders of the Republic of Poland; in these cases, a separate application form is required).
